First General Body Meeting:
First meeting of the semester. Everyone comes back and we et members together and
prospective
members. We're going to have food, etc.

Garba:
Dance program open to al lstudents. We'll book the ballroom, theres going to be a
live band
and DJ. ITs a cultural event. Quotes from last year. Going to advertise through fliers,
posters.

Thank You

Amnesty INternational
Movie Event:
Showing a movie on campus. Have the license to show the movie. Expecting 20-30 people.
Advertising with fliers, etc. Free and open to all students.

MId Atlantic Regional Conference:
The conference this year is in Western virginia. Its the main thing that we do, its
the gathering
for all the chapters of our organization in the area. We're expecting 21 people,
we're going to
have to fundraise even if we get all the money we requested. Any student can go
we'll just split
the money between everyone and fundraise the rest. Last year we had 30 people going.

Guantanamo Bay Demonstration:
Organization members will dress as detainees on Main street and collect signatures
for our
petition. The quotes for the costumes are from our area coordinator. The event will be
in October. We're expecting 10 people to dress. We're advertising for the event as
well.

Banner:
We're trying to get a banner as well as flags to stick in the ground to generate
awareness
of the Israel- Palestine conflict. We're collaborating with the Arab Student Union
as well.

Sikh SA
Gurpurab
Biggest event of the year. Held in UC last year. We have a PPT presentation by board
members.
Its a educational event where we teach poeple about our religion. After that we
have a
dinner and music. The dinner is formal also and everyone dresses up. Itll be in the
first
week of October. The quotes are from the restaurant tat we're catering from. The
room rental,
security and equipment quotes are from last year.

Paath Prayer Service:
Monthly prayer service at Interfaith center. Open to everyone, where we pray, and
eat a small
serving at the end of the prayer.

New York Trip:
Had it this year but we didnt have enough funding so we went with College Park. Its
the biggest
event for Sikhs in the US. If we dont go with the school everyone ends up going
anyway, so
we wanted to the school to go as a group. Its a day trip starting at 7:30 in the
morning and
come back at 10 at night. This year we had about 25 people go. The bus quote is from
UMBC transit. Open to everyone, we're advertising through common vision, etc.

Thank You

Poli Sci COM:
Brown Bag event:
We choose a professor from our department, usually its a general Q/A with them. The
event
provides an informal environment to develop a relationship with a professor. The
cost is for
light refreshments. The honorarium is for the speaker. Open to everyone, advertising
through
list serv.

Capoeira
Festival
Brazilian martial art dance fightin form. The festival is basically to initiate our
members
into the art. Basically like getting a belt in other martial arts. WE need the
traditional
instruments which we requested funding for to actually hold such an event. A lot of
our members
need to progress in the art and we need to have this event in order for them to do
so. Its
also something that would be open to everyone and the community. The t shirts are
something
we would sell to fundraise for a future event or to fund this event. The event would
be free to
UMBC students to watch. Any student can join the club, but someone who hasnt trained
cant
really particiapte in the event other than watching as it would be dangerous for
them. We'd
like to have fliers made to post on campus. Most of the advertising generally
happens through
emails. The plane ticket request is only half the cost for the ticket as we have to
pay for
him to come here from brazil. We're going to fundraise the other half of the ticket.
We're also going to have other teachers come in who aren't as high up as our main
"Mestre."
We cant do the event without the Mestre. We also need the instruments for the club
so that
they last for the club in the future. Right now we use our own personal ones but we
need
something for the club.

Thank You

Orthodox Christian Fellowship
Coffeehouse
Its an event we have in September. Its an open mike for students to perform. itll be
in the
sportzone. We're going to provide coffee. We've had the event twice this past semester.
The $50 is for the equipment. Its open to everyone and free.

Thank You

Pre Med Society
INvolvement Fest Fall 2008
We're trying to bring a blood pressure machine, other medical equipment to generate
some
interest. We're also trying to get Pre med society pens.

Yasmin: Your pen quote seems a little pricey, could you try pens.com, theyre a lot
cheaper
and provide decent pens.

We'll try that. We want pens to advertise to students.

Guest Speaker:
We have guest speakers from different institutes and our members can interact with
them, etc.
Its a great opportunity for members, and students.

thank You

We already requested money for it. But when we went to scheduling they said that there

Fouad: Are these numbers additional costs or new total costs?
These are the additional numbers we need.

David: You have some events in April and May that are happening, are you going to
reallocate those funds?
Well the event youre referrin to is Pride week which already ocurred. We spent most
of the
money for that.

David: We have a policy about asking for funds less than 2 weeks before an event.
Well we were initially told by scheduling that there would be no costs for what
we're asking
for now. They only told us a few days ago that we would in fact have these costs.

Yasmin: When is the event?
Its a week from today, next Tuesday.

WE tried to go through UMBC transit but it wasn really efficient. David suggested
we go
through the Track teams company Dylans. The quote for leaving at 9am and returning
around 8
is about $1418. WE just need help with the transportation cost and then each student
would pay their entrance fee.

About 45-50, any extra people will drive.

Its basically a chance on the volleyball team and the UMBC community to come out and

Perfected Praise Dance Fest 2008
Joy: tell us about the event.
Its an event that we want to hold annually. We started last year. We invite
different dance ministries to come. Its a
christian event. We've advertised off and on campus. Thats the biggest event we
hold. We initially wanted to join
a liturgical dance network but the fees were too high. The fees that we originally
had allocated to that we wanted to
move towards this event.

Fouad: It says youre charging for tickets, are you charging admission?
Yes, UMBC students are free but non students have to pay.

SGA Advisor: So are you requesting a reallocation or an additional allocation?
WE're requesting $600 dollars from our budget to be reallocated and an additonal
allocation of $300.

Yasmin: How many people do you expect?
200, its going to be held in the UC.

Thank You

Tea Empire Enchanted Herb Garden and Tea ROom Trop
Joy: Tell us about the event.
Its basically a field trip to a tea room

Fouad: Where is the $25 going towards?
Its towards the tea room to pay for admission, etc.

FOuad: SO youre just carpooling therE?
Yes

Yasmin: How are you deciding on the 18 people?
Well the whole list proc has 250 people so they replied and we decided after that.
Basically
18 people replied.

Joy: If more people want to go will you divide the costs?
yes, what if people drop out?
David: You could always reallocate it to something else or fill in the spots.

Fouad: where is this going to take place?
Skylight room.

Ashley: What is the $500 for contracts?
Its going to be less than that. Its for a singer and its only $100. Its for a
dance team and they charge $100.

Joy; How many people are you expecting?
about 150.

Fouad: Are you gooing to re-use the costumes?
Yes.

JL22- Quadmania After Party:
Joy: WE're trying to hold a mini after party in the cabaret. SEB is paying for the
sound and lighting. SEB is asking us to
fund the DJ.

SGA Advisor: This is in no way an SEB event so that means its SGA's responsibility
to collect tickets, etc.

Ashley: So if this was to be advertised, SGA will have to advertise for it. I think
SEB might want to say its their event.

David: $1000 has always been allocated for the after party so we dont need an
additional allocation, we just need to reallocate
$400 from the $1000 towards this and me and Jay can do that.

o This budget was set to prevent encounters where the exec has to use the savings account, GL
o Suggestion: that part of the budget should be put into the senate’s pot so the exec has to go through the senate first
    * Prove it fund needed for completing the Green Space project
    * Legitimate $ transfer, e.g $ for phone transfer for the use of office supplies.
o This will be at the discretion of the president

5:34 pm meeting called to order

Present: Yasmin, Fouad, Joy, David

Minutes approved from last week.

UMBC TV
What im pushing for is a video mixer to improve
quality for UMBC tv. Currently we're
using my laptop for live content but the quality
isnt great. We're going to do the
Presidential debates live but we need the video
mixer. We have a lot of requests to
stream things on campus live, but we dont have
the equipment. This month we're trying
to stream the presidential debates, the top
model, the 48 hours film festival ceremony.

Joy: So what exactly are you asking for?
WEll i'm asking for one of the options I've
highlighted on the handout.

David: So do you still want the monthly streaming
bill?
Well yes I am still asking for that but I've
found a cheaper alternative for that.
The fee will be $25 a month but it might bump up
to $50. FOr the presidential debates,
with the $50 about 10 people can watch.

Joy: Will this be resuable?
Welll the monthly fee will have to be paid every
month, but if I leave the next person will
be able to pick it up. Right now our club has
about 5 people but we're getting more people.
What I would like to be doing is independent Tv
kind of shows that would be for entertainment
rather than only campus events. The problem I'm
having with that is with people being
involved. Im having trouble getting enough people
for that kind of project.

joy: So you've gone through the different kinds
of set ups, which one is the best one?
WEll 5 would be the ideal. I just put that out
there. I have no clue what kind of funding
you would be able to provide but I just put them
there.

Joy: The monthly fees, is that something you have
to pay with a contract over a year or something
or is that by month?
Well I havnt seen a contract yet but i'm only
getting it for the one month for the
presidential debates. With set up 4 i Wouldnt
need the monthly fee and with set up
2 and 3 I might be able to work it but i cant
guarantee that.

Yasmin: So youre askin for the set up, the two
wires?
Well purely for the presidential debates i'm
looking at set up 1 with two of the cables
at the minimum. For the debates I have my own
camera and a friends camera and someone
elses camera. The third camera isnt required for
the debates but I dont want to rely on
friend's cameras. The cameras if funded could be
used for all kinds of campus events.
Essentially what set up 5 has is 4 cameras coming
in and the LCD monitors displaying each
camera's input and the final product. Basically
I need some sort of monitor.

Thank You

Confirmation of April Lewis:
Its my last year at UMBC and I was in SGA last
year but not this year. I figured I wanted
to get involved in the election without having to
run for anything. David Hoffman asked me
to try for it and I decided to.

Alpha Epsilon Pi- Israel Cultural Celebration
Joy: Tel us about the event
Its the 60th anniversary of Israel's indpendence
so that week there are going to be
events to celebrate it. We're hoping to have a
tent on Ericson field on Monday te 5th
about Israel. Basically we're asking for funding
for food for 50 people. We're hoping
to have a 100 people show up over the course of
the event. I foudn the cheapest tent
rental quote. We want to do a lot of advertising
with a banner and fliers around campus.
Ive tried to get Ericson field but if we dont get
it then we've asked for the COmmons Terrace.

David: Its open to all UMBC students?
Yes, its free to students, theres no offcampus
advertising. This isnt the full budget but we've
received some funding from other organizations
off campus as well.

ASA Jambo Night:
Joy: Can you tell us about the event.
Its a culture show we have every spring semester.
We show people what Africa is all about.
We have fashion, drama, performances, etc. Its
usually sold out every year.

Joy: Can you tell us about the contract money for
7000.
We have a pretty popular African musician coming
all the way from Nigeria. We have a fashion
designer designing for the fashion show so those
two reflect the contract.

Christine: Are you charging?
Not UMBC students but non students we are.

Joy: Is the food from sodexho?
No we have a food waiver.

Joy: how many people are you expecting?
Capacity of the ballroom so 450.

David: What kind of set up is it?
THeatre style.

Joy: Do you have more of a breakdown for the
contract?
ONe of the musicians is 3500, the fashion show
we're not sure but she said $500. Someone
else charged us $1000 to perform and another
charged a $1500.

Thank You

Agape Kings Dominion Trip:
Joy: Can you tell us about the event.
WE have extra money left from the initial
allocation. Basically we wanted to get students
together and try to have them pay as little as
possible. We're trying to cover transport and
food.

David: How much exactly are you trying to
reallocating?
Well we have about $345 which we're reallocating
towards tickets.

Joy: How many people are you expecting?
We're hoping for 30 people.

David; how much is each ticket?
33

Joy: How are you paying for transportation?
We're paying from our organization.

David: If more people want to go will you just
spread it out per person?
Yes

Thank You

UMBC quizbowl:
Joy: Tell us about the event.
Its our national tournament that we qualified for
after winning regionals.

Ashley: What are the requirements to be in
quizbowl?
Anyone cann join it.

Ashley: But to go to the tournament what are the
requirements?
I noted that anyone could show up for the campus
tournament but you hav to qualify to go to
nationals. We won regionals so we get to go to
the national tournament.

Joy: Is this the last thing youre asking for for
the year?
We may ask for more but theyd be local
tournaments so the only costs there would be
registration fee. So i think we can safely say
this is our final request for the year.

David: YOu received $615 at the beginning of the
year of which only 150 has been spent.
Yes we're about to spend another 190 but the
remaining 300 or so we want to save for
tournaments that could occur locally for our
members who arent going to the nationals.
We are opening to using that for this event but
we'd like to save it for the rest of our
members.

Yasmin: Wheres the tournament?
In Minnesota in St. Paul.

Fouad: So five people are going?
Yes

Thank You

Freedom Alliance:
Drag Show:

Joy: Can you tell us about the Drag Show
Its an event we do every May. Its open to
everyone and we hav prizes, etc from people who
support the GLT community. We have student judges
and an outside judge to host the event.

Joy: Where is it being held?
The UC ballroom.

Joy: And these are all quotes from them?
Yes

Joy: how many people are you expecting?
About 300.

James: You said something about a host?
Thats someone to run the drag show, introduce
people, etc.

Joy: Do you have to pay for the host?
Yes

Christine: Who did you have last year?
We had one of the big drag queens from Baltimore
come here. We've had students host it before
and the year before that we had Andromeda who is
very big in Baltimore. We try to bring
big people in. we're trying to get one of the
Charm City Boys. Its a big drag king group
in baltimore.

yasmin: How essential are the hosts?
Very Essential, they run everything on stage and
do their own acts as well.

Breaking the Silence:
Joy: Can you tell us about this event.
This year its ocurring on April 25th. Some
people stay silent the whole day to commemorate
the event. We hand out fliers, etc. This year
we'd like to have a bigger event and bring
a band in. The band would bring their own
equipment so thats included in the $300. The security
is the same as the Drag show because we expect
the same number of people.

Christine: Whos the band?
Odd girl out, theyre a big band in Baltimore.

Joy: How many people are you expecting for this
event?
We dont know.

David: have you been to the safe committee yet?
No

Thank You

Equestrian Club
Tshirt making party:
Joy: Can you tell us about the party?
We're going to have a little party on campus.
WE're going to get blank tshirts and get together
to make tshirts.

Joy: How is it related to your mission?
Well we want to show we're more a group, we want
to bring people who arent in the club but
are interested togehter.

Joy: How many people are you expecting?
10

Joy: Is it people in the club?/
Right now yet, but its open to others.

Joy: Can you explain about the administrative

We're sending letters to potential sponsors.
WE're in the middle of being a club sport
and a special interest club. To let the RAC know
that we are interseted in become a club
team, we need to show them that we're
professional.

Joy: How many letters do you plan to send out.
About 30. Some of the letters go oversees
because theyre international companies.

Virtual Showjumping Tournament:
Joy: Can you tell us about the event.
That was actually cancelled. The sportszone told
us that their tvs werent compatible with
gaming systems so we would have to use the
gameroom and we didnt want to do that so
we decided to postpone it.

Joy: Are you going to come back for anything else
this year?
WE wanted to ask for a bus to go to Pimlico for
an event called Preakness. We wanted to know
how student orgs go about getting a bus.

David: Getting a UMBC bus for this event might
not be a good idea but you can contact an
outside company.

Yasmin: Are you advertisig through facebook or
anything?
Well we could, we have a website with a calendar
of our events but we could advertise.

Conference:
Joy: Tel us about the event.
We get speakers to come in for this conference in
several fields. Historically we've had
200 people each year, hopefully we'll have more
this time because we're starting earlier
and we're advertising more. WE're having 6
speakers from the industry as well as someone
from microsoft. Its going to be free for
students and even non students. We know we cant give
them gifts or anything, but we've had Sodexho
give them lunch and meet everyone in the club
meet them.

Joy: How many people are you expecting?
250 and thats throughout the day. The most we'll
get at any one event is 150. The reason
is because we have speakers from all different
fields so someone interested in art isnt going
to come to see a speaker on programming.

yasmin: Who is the lunch open to?
Its open to the club, the speakers and people
directly involved in holding the event.

Joy: Tell us abouut this event
Its a conference we've participated in for the past few years. We've started winning
awards at this conference, we're ona 3 yr winning streak. Theres about 28 people
from UMBC
going there. Its a pretty big deal.

Joy: How much are hotel rooms?
Well we're putting 4 ppl to a hotel room which is the max allowed, we have 6 hotel
rooms,
hotels in new york are pretty expensive so we're trying our best to cut down
expenses as
much as possible. In the past you've covered delegate fees and thats a big chunk so that
would be great. IF you could cover that we would be extremely happy and if you cover
some transportation we'd be ecstatic. Our program is bringing a lot of recognitition
to UMBC and we're doing well. We do fundraise a lot but its sometimes not possible
to fundraise the amount we need. We're tryin to build an alumni base but we stil need
some help from you.

Yasmin: How many nights is the hotel for?
Its for 4 nights, the conference is meant to be 5 nights but we're leaving the day the
conference ends to cut costs.

Joy: The delegate fees are per person/
yes its a $125 per person. It covers hotel services, tags etc.

involved in this is coming he'll have a better idea.

Yasmin: SO this is a compettion?
Yea its a competition they got invited to at PEnn State, anyone can join, but as of now

Ashley: Are you oging to be reusing the costumes and props?
We'll be reusing them every year, last year the costumes werent accurate, last year

We had people submit their poems to us and we're going to create a book out of

Ashley: So anyone could submit poems?
Yes, it wasnt based on how good the poem was or anything like that, but it was just
basic
expression. Anyone on campus could submit.

Ashley: Did you advertise for this?
Yes we did. We just had a question, the only reason we wanted to sell back was so
that we
could obtain our own budget. How would you suggest we obtain our own budget without
charging
our own students?

David: Well if you wanted to use your own carryover then you could charge students
all you
want but if SGA funds you then we dont want to see students charged since they already
pay the student activity fee.

Joy: So would you want the money from us and not charge students?
David: You can always come back to us after speaking to your organization.

Organization Representation:
Joy: Can you tell us about this
It would be a banner stand that we would use everytime we'd have an event.
Basically we'd

Common

We got it from the internet.

Admission
is free for food, watching, etc, and participating in the tournament is optional in
which
case you have to pay.

Comic Book Series:
Joy: Can you tell us about this.
We're trying to print a comic book series, on our website we're goign to have the comic
book, we're just trying to get publicity for our art, drawings, etc. We're not
trying to
make a profit or anything, we're just trying ot get our names ou there. WE want to try
and get these comic books printed whenever we want to put a book out.

Joy: Do you pass these out?
Yes.

David: So you wont be charging for these?
Right, we'll be passing them out for free.

Ballroom Dancicng Latin Dance Night:
Joy: Tell us about the event.
We did this in the fall and it was extremely successful, we had about 150 people.
We're tryign to do the same thing this Thursday. This is going to be an open floor
event to everyone, we're trying to bring this to the campus to get people involved.

WE're
hoping to get 200-300 people. WE're goin to be advertising a lot on campus. Its going
to be an informative event more than a job offer event. We're going to try to bring
in some local politicians, etc to come and speak to students. We're trying to get the
governor to show up.

Yasmin: How many people do you expect?
It often varies depending on the politician, so we're not really sure.

Meeting called to order at 5:33pm

Present: David, Joy, Ashley, Yasmin, Fouad, Christine

Minutes from last week approved.

Persian Student Associatioin:
Norooz:

How much of your turnout is students?
about 50-60%.

Are your dance costumes reusable?
Yes

What is the final cost of the event?
$5618.50

Thank You

Russian Club
HIllwood Museum:

Joy: Tell us about the event.
We're going there April 12th, the museum houses russian and french art. It will be
educational.

Fouad: So the money for tickets is going towards students and the 5 adults?
yes.

Fouad: And the quote from the gas money is from where?
Well we thought we could fit everyone in 3 cars and that would be $10 dollars roundtrip
to washington dc.

Joy: The adults aren't students correct?
Yes theyre not students.

Joy: Well the student fee money is only for students so we cant really fund
for the adults.

David: you had an event earlier int he year that you didnt get refunded for, you
can just reallocate that.
Yes, that was our idea.

Yasmmin: How much are the student and adult tickets?
The student tickets are $7 and the adults tickets are $12.

Thank You

Delta Epsilon induction:

David: Do you have the breakdown of the costs?
Cords for inductees $564, food $3500, decorations $150.

Yasmin: How many inductees are there?
Last year about 45-50.

Christine: What are your requirements for admission?
a 3.5 gpa in economics classes.

Joy: so the event is open to everyone?
yes, anyone can attend the induction but the cords are only
for inductees.

Joy: How many people are you expecting?
about 130-150.

Yasmin: Do you think itll be only students or others?
Well half of the attendees are inductees. The rest are other students,
faculty, ppl who give out the awards, etc.

Joy: How do you advertise this event?
We dont advertise, we send out invitations. OUr donors and faculty get and send out
mass emails but its not advertised to students other than those inducted who can
invite their friends.

Christine: If you dont get money for this how will you fund it?
Well itll be difficult because the econ dept has had budget cuts this year
and its extremley important for us to get funding.

Joy: Were you funded last year?
Yes we did.

Yasmin: If you're using this event to get people to look at your club then
why dont you advertise?
Well we advertise for accounting club and econ COM but this is kind of like the Golden
Key society. Not everyone can become an inductee unless they meet the criteria but we
definitely advertise through other organizations such as accounting club and econ com.

I also wanted to clear up that we dont charge but we do charge inductees $5 to
ensure they
attend. The money from this goes towards other costs we incur. We charge guests but
inducted students get in for $5, Frnds of these students would have to pay the $30.

Joy: Typically we dont give money to an event thats charging students.
Thats why we're asking for money to cover the students who dont pay enough to cover
the food.
That way we dont have to charge students.

Joy: So youre asking for $3500 for food so that you wont have to charge students?
Yes, if we get this funding we wont have to charge students, but if we dont then
we'll have
to charge our guests, etc.

Thank You

Delta Phi Epsilon:
JoyL Can you tel us about awareness week?
We have an awareness week in March to raise awareness about anorexia, etc. We're
tryign to
make the event bigger and bigger so we're asking for money this year.

Fouad: Where will this event take placce?
Over the week the events will take place on campus.
'
Joy: How many people do you expect?
Well for example at the bake sale it will be whoever passes by.Our biggest event will
be the vigil on Thursday where our sorority, other greek members and faculty attend.
Last year we had close to 100 for this.

Christine: what kind of food are you having?
It will be mostly cookies and cupcakes for the bake sale. The vigil will be real
food like
pasta, etc. OUr sorority will be cooking as well. The bake sale isnt really a sale
though,
we're giving out food and asking for donations.

Christine: Can you explain the bake sale?
Well we're goingn to hand out goods, raise awareness, etc. We have information
pamphlets,
to try and catchattention and get the name out there.

Yasmin: Where is the vigil taking place?
Itll be outside behind the commons but in case it rains we'll have a room reserved.

Thank You

Bartleby
Poetry slam:

Joy: can you tell us about the event?
Well im not the one planning the event but ill try to do the best I can. the poetry
slam
is basically a fundraiser we're holding this year. We're charging participants $5 to
particiapte in the contest. the winner will get half of the money that comes from
the $5
charge.

Yasmin: Will students hav to pay?
No theyll get in free. We have a box in the Fine Arts building where students can
submit forms
and their money.

SGA Advisor: How many poets do you expect to participate?
We're expecting around 20.

Thank You

Steve:
