Minutes were late this week and will thus be approved next week.

Old Business

Habitat for humanity
Yasmin: Want all members of the Finance Board to be present for that decision.

New Allocations

Social Work Student Association
World AIDS Day
In conjunction with bioethics group social work student association. Wanted lectures and wanted light refreshments. Guest lectures from 1 to 6 pm. People who have been infected by HIV or AIDS. Will be testing, but now funding for this

Yasmin: Talked about using another café and have bumped down the prices $1098.70

Questions:
Stephan: where is it being held?
Commons.
SWSA: lectures will be down in the commons
Silva: they included tax, and they don’t have to
Yasmin: do they discount tax?
SWSA: Subtotaled to tax
Yasmin: just take out the total tax

SWSA: Expecting about 200 to stop in during the night.
Silva: have to get tax id number and tell them to send you another invoice.

David: Was the request timely for the amount?
Yasmin: yes it was. And then afterwards we saw Chartwells prices and had to find another café.
Freedom Alliance and Musicians for World Peace have events too. Will be a big day

Toastmasters
Membership Dues:
I have a Copy of application form. Everyone fills this out to be member of toastmasters. 5 to 10 people. Don’t know the exact count. If we said 10 people the cost would be 180 (18 per person) for annual membership plus new registration 16 dollars.
Questions:
Stefan: 400?
TM: Rough estimate. Didn’t have from at the time
Silva: What are the two different fees?
TM: Front fee of 16 dollars with manual provided and an annual fee of 18 dollars
Yasmin: in order to attend meetings to members have to pay this fee?
TM: Currently no one is paying fee. If they are actual members it would be more comforting. Makes the school look better to Toastmasters.
Yasmin: paying fee also give you status. What if no one pays fees?
TM: No one has been. I just became pres. don’t know what Toastmasters has said in the past. Not thing negative
Emily: have you tried fundraising?
TM: Not sure what the requirements are for doing that
Yasmin: no rules for fundraising except that we cant fund anything that would go into your profit.
Discussion:
Stefan: membership dues? Had this issue before.
Stefan: $340 is new total.
James: did you say $155? Its actually 145
Stefan: does this look like the old request?
Yasmin: old requests were for past dues. Also had name by name.
Christine: By when do you have to pay these dues?
TM: No deadline that I'm aware of. We should have done it but we haven’t
Yasmin: does it do more for each ember, or is it for the group as a whole
TM: If each of the members has one then they could give copies to people.
Silva: more concerned about the manual?
TM: If toastmasters come out with something new and interesting we want access. Also concerned with legal issues. Want new books. Is some sort of annual renewal thing.
Emily: if we don’t fund you, what would happen?
TM: I don’t know
Stephanie: does this include 16 manuals or 10?
Emily; could w fund them for 1
Yasmin: there are copyright issues.
TM: 5 pres vice pres treasure and two for checking out
Silva; you have to pay both of these fees?
TM: for new members
Silva: do you have to pay membership fee?
TM: It says under dues new members so I think so
One person who is a member that has been Rich Goldman. And the previous pres moved to another country.
Yasmin: each of these people will be recognized by name and not UMBC.
Emily: we would have to do it every year.
Christine: just fund the manual
Stefan: anyway to get manual with out the membership?
James: manuals come with national membership
TM: Don’t know what it does
David money to sign up, and 16 for renewal.
Yasmin: its in name. If you leave we have paid for your manual because you’ve written it out by name
James: might not be a bad Idea to fund national chapters and updated manuals, but don’t know what the significance for other due is.
David: 16x5 and 35 for each of those.
Stefan: if you had 5 how would you decide how everyone would get it?
James: just for the club
Yasmin: there’s no check on that because they registered by name.
David: doesn’t seem that hard for me. With many orgs you could sign up with affiliation with non-profits. SGA does not fund them. Mostly people don’t ask. Why doesn’t anyone pay it on their own?
TM: Club at UMBC, people don’t usually fund them
Emily: I think this is a personal gain.
Stefan: asked members about paying dues themselves
TM: Was an email that went around a while ago

TM: If I talk to toastmasters and see if there’s a form without per person could I come back
Yasmin: we don’t usually fund that. We can’t pay every clubs national dues.
Tokunbo: every single club has at least 5 people, if you give pres membership at least pres will be there. If it’s just about the manuals, could share every meeting
TM: Have a VP of education, who tells the skills of the day
We fund administrative costs for the org as a whole. When we fund a manual they could walk away with it. If there is a way to file a cheaper for a kit.
Tokunbo: next year they can ask for funding for it. Can be an option. If we don’t have these manuals we cant do what we do as toastmasters.
Christine: no guarantee.
Stefan: we could fund one more the following year
Silva: would be continuing thing
David: small issue compared to. On the pretense that material will be copyright.

Openhouse:
Want to have two one at the end of the semester. Spring another openhouse
Cheapest is pizza for $75
Would be regular one-hour session with speeches and table topics. Meeting with pizza afterwards.
Questions:
Yasmin: event after the meeting?
TM: Had a few open houses in the past. Everybody had pizza after the meeting adjourned
Stefan: as of right now this finance board is not funding food at regular meetings. We are running out of money for this year. We have started cutting.
We could do something where it’s not a regular meeting, meet and greet.
Silva: were thinking more of an event. Food should not make the event.
TM: If we do fundraiser with food
Yasmin: could have an event where you show off the club, and have food there. Could have a bucket for donation.
TM: Maybe like a competition? Um counter.
Yasmin: that would work better. Make sure to advertise. Not just for regular members.
TM: Put something on spotlight
Yasmin: you want 200 for food?
TM: We were thinking of doing two, but because of time constraints would only do one.
Yasmin: I would recommend trying that. Would be a good way to get people out

TM: Yes
Emily: literature and advertising?
TM: For printing flyers

Christine: and you can use facebook
TM: Don't have one, but we can make one.
Yasmin: TVs in the commons are free.
TM: How do I get the flyers?
Yasmin: I can set up an account for you
Yasmin: What time is open house?
TM: Don’t have time set in the fall meetings at 5 30 on Tuesdays. Well make it an event.
Yasmin: as long as you make it an event.

Silva: as long as they advertise it it’s ok. I think I should be interactive.
Yasmin: If this is actually to get other people involved, I'm for it.

Hispanic Latino Student Union: Noche de Baile
Translates to “Night of dance”
Flat Tuesdays 7:30pm – 10:30pm one hour of dance lessons. Will want refreshments and flyers.

HLSU: I don’t know I had to step in for the treasure who couldn’t make it today
Yasmin: are you flyers in cooler?
HLSU: Yes

Yasmin: We give out 100 free black and white flyers if you would be interested

HLSU: Light finger food. Traditional food and drinks.

HLSU: Last event we had like this got 50 people. We are inviting other universities, expecting more
Yasmin: Charging the non-students?
HLSU: This is our first event where we included them, trying to create support
Yasmin: how many UMBC students?

Yasmin: flyers for on campus?
HLSU: Hopefully for both. Mainly just want to email other campuses about the event.
Yasmin: So the printed ones are just for our campus?

Yasmin: calculations are off said they needed $100.
Silva: Where is this event?
Yasmin: main street
Silva: We should fix the amount.
Yasmin: They asked for $100, they can take the rest out of carryover
Emily: Do we fund for giftcards?
Yasmin: we don’t if its for UMBC worker or recruiter. Otherwise it’s ok. My concern is if we find this event beneficial and informative to students.
Christine: Happens every semester
Yasmin: Beneficial to students?
Silva; I would feel beneficial if I did it.
Emily: I see it being similar to a blood drive
Yasmin: They are not giving out information
Silva: won’t they do that automatically?
Stefan: If we decide to approve it, we can send them an email stating they have to give out advertisements or brochures.
David: We should talk about this point more later. Standard is not weather it is a good event. Our standard should be deciding if this is this best use of scarce money. Event for good events we need to ask whether we want to use the money that is left to support it.
Silva: We could take off honorariums. The people did volunteer
Yasmin: I don’t understand why you would remove the honorariums. I don’t agree with student money being used for this event.
Christine: This is not as much
Silva: $100 not necessary.
